An assistant that answers from your documents. And when it does not know, it says so.
Your team asks in their own words and the assistant answers using only what is written in your company’s documents, citing the exact paragraph. If the answer is not there, it does not make one up: it hands the question to a person.
The same questions, to the same people.
How many days of holiday do I have left? How do I claim mileage? What do I do if I cut myself? The answers are written in some manual, but nobody knows which one, so they always land on the same two or three people, who stop what they are doing to reply.
A generic chatbot does not fix it: it confidently answers things that are not written anywhere, and in a company that is worse than not answering.
What gets asked the most
- Holidays, leave and how to request them.
- Expenses, mileage and refunds.
- What to do after an accident or an incident.
How it works, in four steps.
1
Your documents go in
Manuals, protocols and policies, as you have them. There is no need to rewrite them.
2
Someone asks
From a computer or a phone, in their own words, as they would ask a colleague.
3
It answers with citations
Every sentence of the answer carries the document and paragraph it comes from, so it can be checked in one click.
4
If it is not there, it hands over
If the answer is not in the documents, it says so and passes the question to a person. And it notes what still needs writing down.
See it working.
This is the demo, with a made-up workshop and four documents: onboarding, safety, expenses and customer service. Three questions that are in the documents and one that is not: the summer bonus.
Look at the last one: the assistant does not invent a date. It says so, and the question goes to a person. The demo is in Spanish.
Company and documents are fictitious.
Three rules that are never skipped.
AI writes the answer. Whether that answer stands is decided by code.
1
Every sentence has its citation
The answer is made of sentences tied to the exact paragraph of the document. Whoever asked can open it and check.
2
No citation, no answer
If what the assistant says is not backed by any document, it is flagged as unsupported and not accepted.
3
Code decides when to hand over
The AI is not left to decide whether it knows. If there is no citation, the question is always offered to a person.
Which documents work.
The ones your company already has: the onboarding manual, health and safety, the expenses and travel policy, customer service protocols, internal procedures.
It is designed for a small or mid-sized company’s documentation: dozens of documents, not thousands. And it also leaves you a list of what your people ask that is not written down anywhere.
What it does not do.
- It does not search the internet or answer from general knowledge: only from your documents.
- It does not replace HR or your employment adviser. It takes the repeated questions off their plate.
- It does not handle staff personal data, such as payslips or records. Only general documentation.
Frequently asked questions.
Can it make up an answer?
AI can get the wording wrong, which is why every sentence carries its citation and code checks that it is there. If there is no citation, the answer is not accepted and handing it to a person is offered.
Do the documents have to be rewritten?
No. They go in as they are. What the assistant does do is show you which questions find no answer, so you can decide whether it is worth writing one.
What happens when a document changes?
The document is replaced and from then on the assistant answers with the new version. Nothing has to be retrained.
Where are my documents?
In an installation for your company alone, on servers in the European Union. The answers are written by an AI service that does not use your documents for training.
Can it be used from a phone?
Yes. It is a web page that works on computers and phones, with access only for your team.
How much does it cost?
We give you a fixed quote once we know your documents and how many people will use it. Each question costs less than a cent; what really counts is the time saved by the people who today get asked everything.
Tell us the three questions you get asked the most.
With that, and the documents where the answer ought to be, we have enough for the first conversation.
